Letters - Tips about personal and business letters

The art of letter writing, as practised by previous generations, is rare in today's electronic world. But there are some occasions when only a letter, note or card will do. When you must write, keep these tips in mind:

Personal

Don't write only about yourself and your family. Ask questions, even rhetorical ones. Even if you don't expect a reply, at least express interest in the recipient's welfare and activities.

Avoid dwelling on dreary topics such as a minor personal illness.

Choose plain white cards for letters of sympathy. Don't be mawkish, but do say that your thoughts are with the bereaved and then recall a fond personal memory of the deceased. Offer specific help, if possible - babysitting or shopping, for example.

Wait 24 hours before posting an emotion-packed letter - whether written in love or anger. Read it over and then decide if you still want to send it.

Business

If you're writing to a company, address your letter to a specific person. Call the headquarters and ask who's in charge of the department you want to reach.

Letters of complaint should be straightforward, factual and polite. Expressing too much indignation will merely antagonise the reader. If possible, work a touch of humour into the letter; it can be effective in getting results.
